    • Nice-to-have skills
  6. Set Salary Range (Min - Max)
  7. Set Number of Positions
  8. Configure recruitment stages
  9. Save the position

Creating Applicant

Navigate to: HRMS → Recruitment → Applicants

  1. Click "Create"
  2. Enter Applicant Name
  3. Enter Email and Phone
  4. Select Job Position applied for
  5. Select Source (how they found the job)
  6. Upload Resume/CV
  7. Enter Expected Salary
  8. Add Notes
  9. Save - applicant enters "New" stage

Bulk Application Import

  1. Navigate to Recruitment → Import Applicants
  2. Download Excel template
  3. Fill applicant details from job portal exports
  4. Upload completed file
  5. Map columns to fields
  6. Import applicants

Interview Process

Scheduling Interview

  1. Go to Applicant record
  2. Click "Schedule Interview"
  3. Select Interview Round
  4. Choose Interviewer(s)
  5. Set Date and Time
  6. Select Mode (In-person/Video/Phone)
  7. Add Meeting Link if virtual
  8. Click "Schedule"
  9. System sends invites to candidate and interviewers

Interview Feedback

  1. After interview, interviewer opens applicant record
  2. Click "Add Feedback"
  3. Rate on defined parameters:
    • Technical Skills (1-5)
    • Communication (1-5)
    • Problem Solving (1-5)
    • Cultural Fit (1-5)
  4. Provide Overall Rating
  5. Select Recommendation (Hire/Reject/Hold)
  6. Add Comments
  7. Submit feedback

Offer Management

Creating Offer

  1. Select candidate in "Offer" stage
  2. Click "Create Offer"
  3. Enter salary details:
    • Offered CTC
    • Salary structure breakdown
    • Variable pay (if any)
    • Joining bonus (if any)
  4. Set Offer Validity Date
  5. Set Expected Joining Date
  6. Add any Special Terms
  7. Submit for approval

Offer Approval Workflow

Offer Letter Generation

  1. Once approved, click "Generate Offer Letter"
  2. System generates PDF with:
    • Company letterhead
    • Candidate details
    • Position and department
    • Compensation details
    • Terms and conditions
  3. Review generated letter
  4. Click "Send to Candidate"
  5. Candidate receives email with offer letter

Converting to Employee

  1. Once all documents collected, open applicant record
  2. Click "Convert to Employee"
  3. System creates Employee record with:
    • Auto-generated Employee ID
    • Personal details from application
    • Department and job position
    • Reporting manager
  4. Complete additional employee details
  5. Create employment contract
  6. Assign onboarding checklist
